Office Coordinator - Washington, D.C. (1 Positions)

  • Greet and assist clients and visitors as they arrive to the office.
  • Handle all incoming calls and appropriately transfer to attorneys, staff, or voicemail.
  • Ensure all received mail and incoming service at reception are delivered to the appropriate individual. Send mail to outside parties or offices.
  • Manage multiple conference rooms, set-up for meetings, videoconferencing and teleconferencing.
  • Order, maintain and stock office supplies. Maintain list of items used to monitor usage and cost.  Stock refrigerators with water and soft drinks.
  • Oversee shipment and delivery of files, prepare documents for archiving and interact with Records department in NY office and off-site vendor.
  • Communicate with vendors and coordinate events as necessary.
  • Maintain library, update books and publications.
  • Organize travel, book accommodation and reservation needs as required.
  • Work remotely with the IT Department in NY headquarters to troubleshoot/resolve issues regarding PCs, server, telephone, printer, etc.
  • Assist with overflow assignments and miscellaneous tasks (e.g. faxing, printing, scanning, spiral binding, etc.).
  • Maintain effective communication with the Office Manager at all times and notify of daily absences and late arrivals.
  • Position reports to the Office Manager and the Managing Partner.



  • Required high school diploma but Associates degree preferred or equivalent combination of experience, skills, training, and education in a related field. Law firm experience preferred.
  • Ability to write clearly and communicate effectively.
  • Able to work independently and as part of a team with minimal supervision.
  • Imperative to be able to multi-task, prioritize, and remain organized.
  • Knowledge in MS Office Suite, Outlook, and general office equipment.
  • Fluency in English. Foreign language skill an advantage.
